OwnBlock is the data controller for the OwnBlock homeowner, block manager, supplier and administration services. This policy explains how we process personal data when you use our apps, website and support service.
Information We Process
We may process names, account identifiers, flat or property addresses, block membership, email addresses, telephone numbers, profile pictures, uploaded files and images, messages, reported issues, service requests, supplier profiles, quotes, reviews, listings, polls, support enquiries, moderation reports and security audit information.
How We Use Information
We use this information to provide and secure accounts; route messages, reported issues and quote requests; administer blocks and supplier relationships; provide customer support; prevent abuse; meet legal obligations; and improve service reliability. We do not sell personal information or use it for cross-service advertising.
Legal Bases
Depending on the activity, processing is necessary to provide the service you requested, support the legitimate interests of operating and securing OwnBlock, comply with legal obligations, or act on consent. Optional AI formatting is based on a separate choice that can be withdrawn in the app.
Service Providers
We use carefully selected processors where required to operate the service. These may include Cloudflare for hosting, database and private file storage; OpenAI for optional text classification and formatting; Resend for transactional email; and Twilio for password-reset text messages. We limit information sent to each provider to what is needed for that task.
AI Formatting
HeyHomie! and Improve Message are optional. When enabled, text you choose to submit is sent securely to our AI provider for classification or rewriting. The app provides a review step before content is sent onward. You can disable AI formatting under Legal & Support without losing access to manual forms.
Sharing and Visibility
Information is shared only with the people needed for the selected workflow. For example, a reported issue is available to the relevant block manager, a supplier request is available to relevant suppliers, and a block post is available to residents of that block. Private flat messages are restricted to their intended participants.
Retention and Security
We retain active account and operational records while needed to provide the service and meet contractual or legal requirements. Reset codes expire after 15 minutes. Session credentials are revocable and stored as secure hashes; uploaded files are held in private storage. Deleted data may remain in encrypted backups for a limited recovery period before being overwritten.
Your Rights and Account Deletion
Subject to applicable law, you may request access, correction, restriction, objection, portability or deletion of your personal data. You can request account deletion in the app under Legal & Support or email us. We verify requests and delete or anonymise data unless retention is required by law or necessary to resolve a dispute.
International Processing
Some service providers may process information outside the United Kingdom. Where this occurs, we use legally recognised safeguards and contractual protections.
